You may feel a little overwhelmed with trying to decipher what items you actually need, how they will work within the space and when you need to be making bookings.

Not to mention storing or attempting to sell any items you’ve brought afterwards.  Here at Blue Willow Weddings, we have an array of décor items available for hire and we can help you source any custom items you may need.

The easiest way to know what you will need is to run through your ideal day in its entirety, from the beginning of the ceremony, right through to your reception formalities and guest experiences. As you are running through your vision, itemise what you would like to see in each space and make a check list.

The Ceremony

Depending on the venue you choose, you may need to look at hiring arbours, backdrops or installation structures for your ceremony. It’s important however not to forget how your guests will interact with this space, as you may wish to incorporate decorative signage, an accent signing table and chairs, market umbrellas for the warmer months, chairs or bench seats for your guests, vases for feature floral arrangements and even an occasional table or decorative vessel to hold your programs or confetti.

Cocktail reception

Now you’re officially hitched it’s time for you and your guests to relax and enjoy the afternoon before commencing your reception. Both conversation and champagne are flowing, so understanding your furniture requirements as well as looking to create a cohesive style from your ceremony through to your reception is important for this portion of the day.

Again, have a think about the style of your wedding, the weather and the venue. You can hire lounge packages, lower lying and occasional tables, bar tables and stools dependent on the space you’re working with. Think about some accent items such as champagne glasses, grazing tables, tea lights and candle holders, vaseware, signage and soft furnishings such as rugs and cushions to complete your lounge areas.

If you’ve chosen a private property or complete DIY venue you will need to look at hiring tables, chairs, linens, crockery, cutlery and glassware. These come in an array of options and your choices will depend on your wedding style, menu and available space on top of your tablescape. You can also explore accent items such as a bespoke sweetheart table or cake table, focal Bride & Groom chairs, backdrop displays, an abundance of candles, vaseware and other tablescape décor items.

It’s worth remembering that weddings should leave time for fun as well as formality, regardless of the style of reception you choose. Things to think about when hiring

  • You can transition pieces, like signs. Just make sure you organise someone to be in charge of moving the items and placing correctly if you’re at a DIY venue. Most venues will have an on-site coordinator to take care of this for you if you ensure it is noted in your run sheet!

  • Check with the venue. Most venues will have in house tables, chairs, glassware and crockery available for you to use. They will also have preferences as to capacities for their spaces to ensure fire safety is adhered to. Keep them in the loop with any large-scale installations or excessive hire stock, and make sure they are able to accommodate you.

  • Individual bits and pieces, like glassware and crockery, will depend on final numbers. Order early, and order more than you will need. It’s better to be safe, than sorry in this instance. Also, think about kids - if they’re coming along, they won’t need a wine glass.

  • Be realistic with your budget and think about what’s going to be easy for you. You might be able to find one vendor whose chairs are more cost effective, and another whose décor pieces are more budget friendly - but that means two deposits, two vendors to coordinate, two delivery fees and two pick up fees. See if you can find one vendor that can source everything you need – in our experience it will end up being more affordable in the long run! Furniture hire for weddings is the best way to create your perfect day, without the hefty price tag.
